B2B outbound benchmarks 2026: what actually moves a reply rate

Fifteen controlled tests, 389,890 prospects, 15,018 meetings delivered, 41 client programmes, eight years. Every figure below comes from campaigns we ran and measured, not a survey.

In short: across 389,890 prospects and 15 controlled tests, the three biggest levers were replying within 24 hours (6× more meetings), using organic connection requests rather than InMail (10× the reply rate), and targeting a verified subject-matter fit rather than a job title (4× the reply rate). Copy matters, but less than any of those.

Why publish this

Almost every outbound benchmark online is a vendor survey, an aggregate of other people’s aggregates, or a number invented years ago and recycled since. We wanted something we could point clients at and defend line by line.

Everything below comes from campaigns run for 17 clients across 41 programmes between 2018 and 2026. Prospects were split at random inside each account, so industry, geography, seniority and company size are held constant on both sides of every test. We report reply rate and meeting rate together, because several variants lifted replies and produced no extra meetings at all, and those were not rolled out.

The winning message is barely a message. Every sentence added about our own solution cost replies. The cheapest change on this list and the one teams most often refuse to make.

The finding clients argue with most. Senior people reply more readily and book half as often. The level below owns the problem day to day, has diary space, and is looking for something to take upwards. The exception is companies under 50 people, where the founder is also the operator and the pattern inverts.

8. Video in the first touch: +40% replies, +57% meetings

Reply rate unchanged, meetings up 8 percent. The link does not win the conversation, it removes friction once the conversation is already won. A good example of why reply rate alone is a poor decision metric.

Reply rate and deal size rarely point at the same person. Design the campaign around whichever column you are measured on.

Solution Architects and Heads of Engineering are the sweet spot: one rung below the decision maker, which is where meetings get booked, while still carrying deal sizes above €40,000. Procurement Managers reply least and convert worst; we now advise against them as an entry point and bring them in later.

Reply rate falls steadily as company size rises while deal size climbs faster than the rate falls. Enterprise campaigns are slower and quieter and worth roughly nine times more per deal.

If you are choosing three markets to start in, UK and Ireland, the Nordics and CEE carry the highest meeting rates and the shortest time to first meeting. DACH needs a formal tone and voice notes underperform there. France needs local language and a longer runway. US West is the most saturated market we sell into.

Technical services out-book software. The buyer recognises the problem without being educated first, which is exactly what a 420-character message is good for.

What to put in the message, and what to leave out

Include: their own product by name. A direct competitor of theirs by name. A colleague or mutual connection you share. Something specific from their recent activity. One question about how they handle the problem today.

Leave out: what your company does. Your product name or feature list. Case studies, awards or funding news. Anything that takes the message past 420 characters. A meeting request before they have shown interest.

How we ran these tests

One variable at a time. A test alters a single element. If two things change we learn nothing.

Split inside the account, not across accounts. Prospects randomised within each client’s own list, holding industry, geography, seniority and company size constant.

Minimum 2,000 prospects per arm. Outbound is noisy at low volume and smaller samples move around too much to act on.

Measured to the meeting. Reply rate is the leading indicator, meeting rate is the decision. Several variants lifted replies and did nothing for meetings, and we did not roll those out.

Using this

If you take three things from it: answer inbound replies within 24 hours, stop using InMail, and spend your effort on targeting before you spend it on copy. Those three carried more of the variance than everything else combined.

Frequently asked questions

What is a good LinkedIn reply rate in 2026?

Across our 41 programmes the average sat between 27 and 35 percent depending on persona and region, but the range is enormous: broad role-based targeting replied at 13.0 percent while a verified ICP and subject-matter match replied at 51.9 percent. Targeting explains more of the variance than copy does.

Does video actually improve outbound results?

In a controlled test across 8,385 prospects, a personalised video first touch replied at 40.4 percent against 28.8 percent for text-only, a 40 percent lift, and produced 57 percent more meetings. The effect held across all three accounts over eleven weeks.

How quickly should you reply to an inbound response?

Within 24 hours. Replies answered inside 24 hours converted to a meeting at 21.4 percent against 3.6 percent for those answered after 48 hours. That is close to a sixfold difference and the largest single effect in the dataset.

Should you target senior people or the level below?

Directors and above replied more often, 32.0 percent against 26.0 percent, but booked meetings at half the rate: 2.2 percent against 4.4 percent. Seniority buys a reply, not a meeting. The exception is companies under 50 people, where the founder is also the operator.

How long should an outbound sequence run?

Six weeks. Meetings per prospect rose to 5.3 percent at six weeks, plateaued at 5.4 percent at eight, and fell to 4.6 percent at ten. Running longer costs sender reputation without adding meetings.

How long should a first LinkedIn message be?

Between 240 and 420 characters, which replied at 38.6 percent. Under 150 characters dropped to 21.4 percent and over 700 to 11.2 percent. Very short reads as automated, very long does not get read.
