The result
| Variant | Reply rate | Meeting rate |
|---|---|---|
| Text follow-up only | 30.7% | 4.1% |
| Voice note at step two | 33.7% | 5.0% |
Sample
2026, eleven weeks, 5,915 prospects. Companies of 10 to 50 employees. Founders and COOs. Split at random inside each account.
Why it works
A voice note carries tone, and tone is the thing text outbound cannot fake. You can hear whether someone is reading, whether they are interested, and whether they are a person or a process.
It works at step two rather than step one because it needs context. A voice message from a complete stranger is easy to ignore and slightly odd. A voice message from someone whose written message you read three days ago is a follow-up with a face on it.
The economics are the argument. Video was the stronger effect at plus 40 percent on replies, but a voice note takes thirty seconds and no setup. At volume, a smaller effect you can apply to every prospect beats a larger one you can only apply to fifty.
How to apply it
Twenty-five to forty seconds. Three beats: who you are and why you are back, the one specific thing, one question.
Step two, after a text first touch. Not step one.
Send a one-line text message afterwards saying what the note was about. Some people never play audio, and that line recovers them.
What this test does not tell you
One size band and one persona group: founders and COOs at 10 to 50 employee companies, where the listener is also the decision maker. It did not carry in DACH, where our programmes needed a formal register and voice notes underperformed. We have not tested it at enterprise.
Method
One variable at a time. A test alters a single element; if two things change we learn nothing. Prospects were split at random inside each client account, holding industry, geography, seniority and company size constant on both sides. No test was called below 2,000 prospects per arm, because outbound is noisy at low volume. Reply rate is reported as the leading indicator and meeting rate as the decision, because several variants lifted replies and produced no extra meetings at all, and those were not rolled out.
This test is one of fifteen in a dataset covering 389,890 prospects and 15,018 meetings across 41 client programmes and 17 clients, run between 2018 and 2026. The full set is on the 2026 outbound benchmarks page.
