B2B outbound reply rates by persona

Fourteen buying roles, 389,890 prospects, 15,018 meetings. Reply rate, meeting rate and deal size rarely point at the same person, which is the useful part.

In short: founders reply most, at 41.2 percent, and produce among the least pipeline per thousand prospects, at about €1.03m. Solution architects reply nine points lower and produce €2.78m. Procurement managers are worst on both measures and should not be an entry point.

Pipeline per thousand is meeting rate multiplied by average deal size. It is the column most teams never build and the one that changes decisions.

The three things this table says

Reply rate and deal size point in opposite directions. Founders reply at 41.2 percent on a €16,400 deal. VP Sales reply at 30.1 percent on a €57,300 deal. Whichever column you are measured on should decide the list, and most teams are measured on the second while building for the first.

The sweet spot is one rung below the decision maker. Solution architects and heads of engineering sit second and third on reply rate, second and fourth on pipeline value, and they are the least contested personas in the set. That is not a coincidence: they own the problem day to day, they have diary space, and almost nobody targets them.

Seniority buys a reply, not a meeting. Across 11,780 prospects at 2,000-plus employee companies, directors and above replied at 32.0 percent and booked at 2.2 percent. Managers and below replied at 26.0 percent and booked at 4.4 percent. The full test is here.

389,890 prospects contacted and 15,018 meetings delivered across 41 live client programmes for 17 clients, between 2018 and 2026. All B2B. Meetings are counted at the point one was accepted in the client’s calendar; we do not track what happens after that, because we are not in the room.

Which job title replies most to B2B outbound?

Founders and CEOs, at 41.2 percent across 19,600 prospects. They also carry the lowest average deal size of the fourteen personas at €16,400, so they produce the most conversations and among the least pipeline per thousand prospects.

Which persona produces the most pipeline?

Solution architects, at roughly €2.78m per thousand prospects contacted. That comes from a 5.9 percent meeting rate and a €47,200 average deal. Heads of RevOps are second at about €2.60m and VP Sales third at €2.52m.

Which personas should you avoid in cold outreach?

Procurement managers, at 21.8 percent replies and 2.7 percent meetings, the worst on both measures. Procurement enters a deal after a requirement exists and cold outbound arrives before it does. Heads of marketing were second weakest at 27.4 and 3.8 percent.

Should you target senior people or one level down?

One level down, in most cases. Directors and above replied at 32.0 percent and booked meetings at 2.2 percent; managers and below replied at 26.0 percent and booked at 4.4 percent. The exception is companies under about 50 people, where the founder is also the operator.
