Where the upside is
Rates are indexed from three separate breakdowns of the same dataset, with the size and region adjustments dampened because the persona figure already partly reflects both, and capped at rates near the highest we observed. Closed revenue assumes the deal closes in the month it is modelled, which real cycles do not; use it as a run rate, not a cash forecast.
The inputs that decide the answer
Two numbers do almost all the work in an outbound business case, and both are usually guessed.
The first is meeting rate. Across our dataset it ranged from 2.7 percent for procurement managers to 6.3 percent for founders and CEOs, and from 3.5 percent at 2,000-plus employee companies to 6.1 percent under 50. A business case built on "let us say 5 percent" is off by a factor of two in either direction depending on who you picked.
The second is volume per seat. A person doing genuine research, writing something specific and answering replies the same day does not work 2,000 prospects a month. Four hundred to six hundred is realistic without automation. This is the number automation actually changes, and it is why the tooling cost line is usually the smallest number on the page.

Reply rate falls as company size rises and deal size climbs faster than the rate falls. Pipeline per thousand prospects is five times higher at enterprise, which is the whole argument for a slower, quieter programme. Full figures on the 2026 benchmarks page.
